1. Who we are and scope
HTM Infra Tech, Odisha, India (“HTM Infra Tech”, “we”, “us” or “our”) operates the HTM Infra Tech website, customer workspace, administrator and partner portals, AI-assisted tools and related support services. This policy applies to personal information processed through those services.
2. Information we process
We process information you provide, including names, business details, email addresses, phone numbers, project and site records, quotations, uploaded documents, team invitations, partner applications, referral relationships, support messages and billing references. Payment providers process customer card or bank details; we receive transaction status and reference information rather than full card details. Referral partners may separately provide encrypted bank-account or UPI payout details for commission withdrawals.
We also process service information such as authentication sessions, one-time-code activity, device and network abuse-prevention identifiers, access permissions, audit events, error and security logs, storage usage, AI-credit usage and technical request information.
3. How and why we use information
We use information to create and secure accounts, deliver requested features, calculate subscriptions and credits, process payments, provide support, prevent fraud and abuse, maintain auditability, improve reliability, comply with legal obligations and enforce our terms. We use information only where needed to provide the service, honour a request, protect legitimate service and security interests, comply with law, or where you have provided applicable consent.
5. AI-assisted features
When you use an AI feature, relevant instructions, selected project context and attached content may be sent to the configured AI provider to generate a response or proposed action. AI output can be inaccurate and should be reviewed. Do not submit information that you are not authorised to process or that is unnecessary for the task.
7. Retention and deletion
Active account and project content is kept while the account is active. One-time codes expire after 10 minutes; temporary AI attachments after 30 minutes; incomplete signup accounts after 30 days; rejected partner applications after 180 days; and security and audit logs are generally kept for 12 months. Abuse counters expire within 30 days according to their enforcement window.
After an approved deletion request, we disable access and remove customer content from primary systems within 30 days. Backups expire within a further 35 days. Payment, tax, fraud-prevention and commission evidence may be retained or pseudonymised for the period required by applicable law. A minimal record of the completed request may be retained for 12 months.
8. Access, correction, export and deletion
You may ask us to access, correct, export or delete personal information associated with your account, or object to or restrict processing where applicable. Email contact@htmautomationsindia.com from the address linked to your account with the subject “Privacy request”. We normally verify and respond to the request within seven days.
Before deletion, we can provide an export and will explain any records that must legally be retained. We will never ask for your password or one-time sign-in code.
9. Security and changes
We use access controls, private object storage, encryption in transit, secret management, session controls, audit records, rate limits and monitoring appropriate to the service. No system can guarantee absolute security; contact us promptly if you suspect unauthorised activity.
We may update this policy as the service, providers or legal requirements change. The current version and update date will remain available on this page.
